LIBRARY COMMISSION MEETING
CALL TO ORDER
At 7:00p.m., Vice Chair Sreekanth called the meeting to order at the Cupertino Library, 10800
Torre Avenue, Room 201A.
ROLL CALL
Commissioners present: Archana Panda (7:04 p.m.), Sheela Sreekanth, Liyan Zhao, Qin
Pan, Janki Chokshi
Commissioners absent: None

APPROVAL OF MINUTES
1. Subject: August 7, 2024 Library Commission Meeting Minutes
Recommended Action: Review and approve the August 7, 2024 Library Commission meeting
minutes.
Vice Chair Sreekanth motioned to approve the August 7, 2024 Library Commission meeting
minutes as submitted. Commissioner Zhao seconded. Motion carried with 3 yes (Sreekanth,
Zhao, Pan), 1 abstain (Chokshi), and 1 absent (Panda).

2. Subject: Library Programs and Events Policy Draft
Recommended Action: Review and provide feedback on the Library Programs and Events
Policy draft.
Chair Panda joined the meeting at 7:04 p.m.
Jennifer Weeks, Santa Clara County Library District (SCCLD) County Librarian, reviewed the
changes in the updated Library Programs and Events Policy draft.
Commissioner Zhao requested clarification on the specific updates in the revised policy draft
verses the original. County Librarian Weeks clarified that the updates focus on the reflection of
the SCCLD mission through connection, privacy, inclusiveness, and language.
Chair Panda requested clarification on the languages supported in the policy. County Librarian
Weeks clarified the revised policy highlights the importance of diverse community needs
through social justice and inclusivity.
Chair Panda requested clarification on how the SCCLD will ensure compliance with the policy.
County Librarian Weeks clarified that the policy serves as a checklist and helpful guidelines for
program offerings and is helpful for staff when they are partnering or putting together a
program.
Commissioner Chokshi requested clarification on whether or not there were any criteria or
preferences for selection of programs. County Librarian Weeks clarified not necessarily
preference, but more looking at a Library’s demographic and seeing what the interests and
needs are within the community.
Commissioner Zhao requested clarification on the Non-Commercial Use of Library Space
section in the revised policy that states, presenters may not promote products or services. County
Librarian Weeks clarified that it would have to be a relevant item (e.g. an author’s book), but in
general it should not be a commercial enterprise at the Library.
County Librarian Weeks informed the Commission that the revised policy will be going to the
JPA at the end of October for review and will be available on the website following.
Chair Panda requested clarification on the JPA. County Librarian Weeks clarified that it is the
Joint Powers Authority Board, and Councilmember Kitty Moore serves on the JPA for the City
of Cupertino. Added that the JPA reviews the SCCLD budget and policies.
3. Subject: Poet Laureate Program Logo
Recommended Action: Review and provide feedback the updated Poet Laureate Program logo.
Molly James, Recreation Manager, informed the Commission that staff is planning to bring back
the second revised Poet Laureate Playbook draft in December as they are waiting on
confirmation from the Cupertino Library Foundation for the annual stipend. Presented the
current Poet Laureate logo and the updated Poet Laureate logo for review.
Recreation Manager James clarified that the new Poet Laureate logo would be available in three
color variations – blue, red and blue, and transparent white.
The Commissioners all supported the new Poet Laureate logo.

Recreation Manager James provided a Staff Liaison Update on the following:

Center
- Monster Mash – Saturday, October 26 from 5:30 to 8:30 p.m. at Quinlan Community
Center
-Pizza and Politics – Wednesday, October 30 at 6:30 p.m. at Community Hall
