This proposal covers our work to de~!elop a Contract Document set for the 2009 Slurry Seal Program far various streets throughout the neighborhoods of Cupertino. PET will begin with the street list provided by the City which identifies slurry seal candidate streets based on the City's PMS data. Wa will visually review the streets identified on the list, along with the remaining streets in each neighborhood, to confirm the candidate streets. All candidate roadways will be measured in the field to determine construction quantities, The quantities will be incorporated into an Excel spreadsheet which will become a part of the Contract Documents, including the list of estimated quantities for each street and S:he Bid Schedule for the 2009 Slurry Sell Program. The engineer's project cost estimate will also be prepared from this file. E'ield measurements will include I>erforming .,crack factors" and locating digouts far each street. Crack factors are .prepared to estimate the total eR-ount of crag; filling that will be requir+~d on Mach street segment. Rigouts will. be mapped on base plans and will include the approximate dizs;ensions 'of .each digout. The digouts will be mapped on ax.`ea plans and will include approximate dimensions of each digout. Our experience on past projects shows that this tends t+~ get the best price possible from the contractor. nttlusineaa\iu=tYarkN.tnpt>snpoarlatfroposait940i1xiM4-;C6~z.wy~ 3820 Cypress ©rivoa, Sults 3 Petaluma. Some .site plans may be incorporated into the binder set to fully explain the scope of the work to the Contractor. the binder set will also include technical specific~stions, quantity estimates, and any construction details necessary to communicate the intent of the design. PEI will be on hand to assist t^~e City during the bid process, including attendance of bid mes~tings, ansk~ering any questions during the bid, and preparing addenda as necessary. Due to the short time frame that we have to prepare the Contract Document set, PEZ intends to begin the work irrunediate2y, with the understanding. that the Purchase Order will be coming from the City within the following weak. We intend to complete the entire package on or before June 23rd. Z1s we discussed this morning, t~:e City's budget ranges between 5700,000 to $600,000, However:, since bid prices have been extremely competitive in recent: months, we will prepare a contract document set with an estimated base bid amount of $800,0.00, with an add alternate amount of $50;000 td $100,000 included in the package. The actual numbers will be based on fitting the base bid and add alternate to the defined neighborhoods. Our fee far this project tzi11 )rye 543,175. Based on a total construction cflst of S90A,000, th;ts works out to roughly 9,$$ of the construction cost, which is fairly consistent with previous design projects for the City of Cupertino. Please note that this fee does not include the cost of Construction Administration, Inspection and Tasting. We will be glad to provide a proposal for this phase of the project under separate cover, once each design is fully developed. it: \9usiarsi\7rxt 1M3t3catirMlY:Cosa:aiFrcjwsals29t9\Y.Y04-2di_pY.,sye2 06/10/2009 12:10 FAX X08 7TT 3333 f~000S10005 Mx, Glenn Goepfert MP09-206 June 8, 2009 Page 3 As always, our proposed fees arE, subject to negotiation with the City.
