FAX: (408) 777-3109 SUMMARY Agenda Item No. 1.2 SUBJECT AND ISSUE Meeting Date: October 16, 2007 Adopt Resolution No. 07-~ amending the Unrep~sented Employees' Compensation Program to add an auto allowance for the Executive Assistant to the City Attorney. BACKGROUND The agreement for legal services with the City Attorney stipulates that the Executive Assistant to the City Attorney will receive the same. fringe benefits as the Executive Assistant to the City Manager. The City Manager's Executive Assistant currently receives a $200 per month auto 8llowance. Based on the contractual obligation from the.City Attorney's agreement, the same auto allowance should be extended to his Executive Assistant. L The City plans to eliminate the auto allowance for both Executive Assistant positions in the future when the position in the City Manager's office becomes vacant through attrition. FISCAL IMPACT Adding the auto allowance increases benefit CQsts by $2,400 annually. In addition, a one-time cost of $9,600 will be incurred to compensate the incumbent retroactively for the last four years. RECOMMENDATION Staff recommends that the City Council adopt Resolution No. 07- '7~ amending the Unrepresented Employees' Compensation Program to add an auto allowance for the Executive Assistant to the City Attorney. NOW, THEREFORE, BE IT RESOLVED that the Unrepresented Compensation Program be amended as shown in Attachment "A" which is incorpo.rated in this resolution by this reference. In many instances the use of personal vehicles is a condition of employment due to the absence of sufficient City oWned vehicles for general transportation purposes. It is not intended, however, . that such a condition of employment should work an undue hardship. Por this reason, the following policies shall apply for mileage reimbursements. Those persons who occasionally are required to use their personal automobiles for City business shall be reimbursed for such use at an appropriate rate established by the City. Council. Submission of reimbursement requests must be approved by the Department Head.
