81-016 Helen Peters, Becker Instruments, Gina Vicari contracts for Microfilming city documentsCITY OF CUPERTINO 10300 Torre Avenue Cupertino, CA 95014 Notice to Bidders Microfilming The City of Cupertino, Santa Clara County, California, invites sealed proposals for the microfilming of City documents. Said sealed proposals will be received at the office of the City Clerk, Room 101, City Hall, 10300 Torre Avenue, City of Cupertino, California, until 2:00 p.m., April 6, 1931, at which time they will be publicly opened in Council Chamber and the comparative prices read. All bids received ;,;ill be reported to the City Council of Cupertino within thirty (30) days of receipt, at which time Council will review and act upon bids submitted. Award, if any, will be to.the lowest responsible bidder. The City of Cupertino reserves the right to reject any or all bids, and further reserves the right to delete any item or items from the proposal or to increase or decrease the quantity of any item thereof. Documents will be camera ready; i.e., staples and paper clips removed, papers in correct order for filming with tears mended. Material will be placed in record size boxes (provided by contractor) for pick-up; lists of the material will be provided by the City to the contractor. The material is to be picked up from and delivered to City Hall. 1) All film to be processed in a manner as prescribed by the National Bureau of Standards for the production of permanent record copy on microfilm. 2) All records to be on high resolution silver (archieval) microfilm. 3) Except for items described in number 4, original microfilm to have one diazo duplicate made. The duplicate copy to be loaded into microfiche jackets and delivered, and the original archieval film to be left in roll form and labeled for Security Storage. The contractor shall provide Security Storage for the original microfilm in a location . L1"0. 1.AW11L 11146 Cull L) accessible to the City. 4) Public Works Department's plans will be direct duplicating on silver film, with aperture cards to be Dakota 1000 or equivalent. Plans shall be filmed with a scale. If the City has need for reference to any record that is in custody of the contractor, the contactor will return the record at no charge within 24 hours in a non -emergency situation and within 1 hour in an emergency situation. For highly confidential material the contractor may be requested to come to City Hall for filming of material. The City shall retain the right to reject any portion of all of the micro- film produced by the contractor that do not meet its specifications. The City will pay upon delivery of microfilm, records and invoicing. Arrangements to view the stored records to be microfilmed may be made by calling the Department of the City Clerk, Cupertino, 252-4505.
